This policy explains how Noviqore collects, uses, stores and protects personal information when you visit the website or submit an enquiry.

Noviqore currently collects personal information mainly when you submit an enquiry through the contact form or contact us by email. The website does not currently offer public comments or newsletter subscriptions, and personal information is not sold.

1. Information Noviqore might collect

Noviqore may collect personal information that you provide voluntarily through the website contact form or by email, including:

  • Your name
  • Your email address
  • Your organisation or professional affiliation, where supplied
  • The type of service or enquiry selected
  • The contents of your message
  • Any other information you choose to include in your communication

The website may also process limited technical information automatically, such as:

  • Internet Protocol address

  • Pages visited
  • Date and time of access
  • Cookie or similar technical information

The precise technical information collected will depend on the WordPress hosting environment, security services, form settings and any analytics tools enabled on the website.

  • Complete and submit the WPForms contact form
  • Contact Noviqore by email
  • Communicate with Noviqore regarding a service, proposal or project
  • Visit or interact with the website

The website does not offer public article comments or newsletter subscriptions at launch.

3. Why Noviqore uses personal information

Noviqore will not use enquiry information for unrelated direct marketing without an appropriate lawful basis or consent.

POPIA requires responsible parties to inform people about the collection and intended use of their personal information. 

5. Contact-form submissions

The website uses WPForms to receive enquiries.

Information submitted through a form may be:

  • Transmitted by email to admin@noviqore.co.za
  • Temporarily or permanently stored within the WordPress website, depending on the form configuration
  • Processed by the website hosting provider, email provider or technical service providers necessary to deliver the enquiry

Please do not include confidential medical information, patient records, identification numbers, financial information or other sensitive personal information in a general website enquiry.

Submitting a contact form does not create a client, professional advisory or contractual relationship.

6. Cookies and analytics

The website may use essential cookies required for security, functionality, form operation and basic website performance.

Noviqore does not currently intentionally use cookies for newsletter subscriptions or personalised advertising.

Limited website analytics may be introduced to understand general website traffic and improve content. Where non-essential analytics or tracking technologies are enabled, the Privacy Policy and cookie controls will be updated accordingly.

Until the installed plugins and hosting analytics have been reviewed, this section should be treated as a transparent statement that some basic server-level technical data may still be generated automatically.

This section will be updated if a non-essential analytics platform is introduced.

7. External links

The website may include links to external websites or platforms, including LinkedIn.

Selecting an external link may allow that third party to collect information under its own privacy terms. Noviqore does not control and is not responsible for the privacy, security or content practices of external websites.

Visitors should review the privacy policies of third-party platforms before providing personal information to them.

8. Sharing of personal information

Noviqore does not sell personal information.

Information may be shared only where reasonably necessary with:

  • Website hosting and technical service providers
  • Email and communications providers
  • Website security or spam-prevention providers
  • Professional advisers, where necessary
  • Government, regulatory or law-enforcement authorities where legally required
  • Contractors or service providers involved in delivering an agreed service, subject to appropriate confidentiality and data-protection measures

Service providers should process information only for the purpose for which access was granted and subject to appropriate safeguards.

9. International processing

Some website, hosting, email or technical service providers may process information outside South Africa.

Where personal information is transferred internationally, Noviqore will take reasonable steps to ensure that the transfer is permitted under POPIA and that appropriate safeguards are in place.

10. Retention of information

Personal information will be retained only for as long as reasonably necessary for the purpose for which it was collected, including:

  • Responding to an enquiry
  • Maintaining professional or business records
  • Completing an agreed project
  • Complying with legal, accounting or regulatory obligations
  • Resolving disputes
  • Protecting legitimate legal interests

General enquiries that do not result in an ongoing professional relationship may be deleted when they are no longer reasonably required.

11. Security

Noviqore will take reasonable technical and organisational measures to protect personal information against:

  • Loss
  • Unauthorised access
  • Misuse
  • Alteration
  • Disclosure
  • Destruction

However, no website, email service or internet transmission can be guaranteed to be completely secure.

Where a qualifying personal-information security compromise occurs, Noviqore will take reasonable steps to contain and investigate it and provide the notifications required by POPIA. The Information Regulator advises responsible parties to notify affected data subjects and the Regulator as soon as reasonably practicable where the relevant requirements apply. 

12. Your rights

Subject to POPIA and applicable limitations, you may have the right to:

  • Ask whether Noviqore holds personal information about you
  • Request access to your personal information
  • Request correction or deletion of inaccurate, irrelevant, excessive, outdated, incomplete or unlawfully obtained information
  • Object to certain processing
  • Withdraw consent where processing is based on consent
  • Request information about how your personal information has been used
  • Submit a complaint to the Information Regulator

The Information Regulator’s guidance confirms that individuals may ask whether their information is held and may request access or correction where applicable.

Noviqore may need to verify your identity before responding to a request.

13. Children’s information

The website and Noviqore’s professional services are not intentionally directed at children.

Noviqore does not knowingly collect personal information directly from children through the website. A parent or guardian who believes that a child has submitted personal information may contact admin@noviqore.co.za to request its review or deletion.

14. Medical and sensitive information

Noviqore publishes general scientific, medical and health-related educational content. Visitors should not submit personal diagnoses, patient records, laboratory results or other health information through the general contact form.

Any health-related information submitted voluntarily and without request may be deleted or handled only to the limited extent necessary to respond appropriately.

The website does not provide emergency, diagnostic or individualised medical services.

Noviqore may update this Privacy Policy when:

  • Legal or regulatory requirements change
  • Noviqore’s services or operating structure change

The updated date will be shown at the top of the policy.
